Who we are

Fosko Rentals LLC is a Virginia limited liability company based in Newport News, Virginia. We rent photo booths across Hampton Roads. You can reach us about anything on this page at bookings@foskorentals.com.

Email addresses, and what each one is for

We never ask for your email before showing you a price. Prices, packages and date availability are on the site without giving us anything. There are three places you can choose to give us an address, and they are not the same:

  • “Email me this quote”, under a total you can already see. We send you that quote and nothing else. No newsletter, no follow-up sequence, and no payment link in the email.
  • “Tell me if this date opens up”, when a date you checked is already booked. We email you once if that date frees up, and not otherwise. It does not hold the date.
  • The email field on the booking form. If you type it and leave without finishing, we keep it and send you one email about the booking you started. That is a marketing email and it carries a one-click unsubscribe link, which also stops every other sequence for your address. The field says this before you type in it.

An address you gave us to receive a quote is not permission to market to you, and we do not treat it as one.

What we collect

When you book, we collect what the booking needs:

  • Your name and email address
  • Your phone number, if you give one
  • Your event date, start time and length
  • The venue or place name and the street address of your event
  • Your package, add-ons, travel zone and backdrop choice
  • If you started a booking and left, whatever you had already entered alongside your address. See the section above for what we do with it.
  • If you ask for the military discount: that it was applied to your booking, when, and a short note from our conversation. We store no identity documents.
  • Whether you agreed to the optional launch offer (marketing use of a few event photos in exchange for a free extra hour), and whether you consented to do business electronically

When you use the quote form instead, we collect your name, email, optional phone, optional event date and whatever you write in the message.

We do not collect or store card numbers. Payment details go directly to Stripe and never touch our servers.

If you opt in to text messages on the booking form, we may text you about your booking at the number you give.

Emails and texts we send

Once you book, we email you about that booking: your contract, your confirmation, receipts, balance reminders and anything that needs your attention. Those are about your order and you cannot opt out of them while the booking stands.

Two things we send are marketing, and both carry an unsubscribe link that stops them with one click. If you start a booking and do not finish it, we may send up to two emails over the following three days saying the date is still open. After your event we may email you up to twice asking for a review. If you gave us a phone number and ticked the texting box, one text may go with each of those; reply STOP to end texts. Using the unsubscribe link ends both sequences and we keep a record of that so it sticks.

Advertising and visit information

If you arrive from an ad or a search result, your browser stores a small record of that first visit in its own local storage: the campaign parameters in the link (utm_source, utm_medium, utm_campaign, utm_content), the Google or Meta click identifier if one is present, the page you landed on, and the time. If you go on to book or send a quote request, that record is saved alongside it so we know which advertising actually works.

This is stored by your browser, not in a cookie we set, and you can clear it by clearing site data for this site.

Who processes your information

We use a small number of services, and only for the purposes below. We do not sell your personal information and we do not share it for cross-context behavioural advertising.

  • Our database and hosting providers store your booking record and serve this website. Like any web host they keep short-lived request logs that include IP addresses, which we do not copy into your booking, and we process your IP address to protect the site from abuse.
  • Stripe processes payments and stores your card so the balance can be charged before your event. Stripe receives your name, email and payment details directly.
  • Our email delivery provider sends the email about your booking: your contract, your confirmation and booking reminders.
  • SignWell handles electronic signature of your rental contract and stores the signed document and its audit trail. That audit trail records the time and the IP address of each signature, as e-signature law expects, and is part of the signed document.
  • The booth software and its online gallery capture the photos at your event and deliver them. The company behind that software stores your event photos, and the email address or phone number a guest types in at the booth to receive a photo. Photos from your event stay in the online gallery until you ask us to remove them, and we remove them within 30 days of your request.

Analytics and session recording

This site uses Google Analytics and PostHog to understand how the site is used and where people get stuck. Both set cookies. PostHog also records site sessions: a replay of the pages visited, the clicks and the scrolling, so we can see where a booking goes wrong.

Every form field is masked in those recordings. Your name, email address, phone number, event address and the name you type to sign your agreement are hidden before the recording leaves your browser, and so is the text of the agreement itself. We cannot see what you typed by watching a replay, and neither can anyone else.

We also keep our own small record of which step of booking a visit reached: checked a date, opened the booking form, chose an event type, reached the agreement, signed, opened payment. It is tied to a random id in a cookie, not to you, and carries no name, email, phone, address or IP address. We delete those rows after 180 days.

When you book, we save the random ids from those two analytics cookies alongside the booking. When your retainer is paid, our server tells Google Analytics that a booking happened: the amount, the package and add-ons, and that cookie id. It does not send your name, email, phone number or address.

If we are running Google Ads, our server also sends Google a one-way scrambled version (a SHA-256 hash) of your email address with that booking, so that a click on one of our ads can be matched to it. We never send the address itself, and we send the hash nowhere else.

None of this runs on our admin pages, and we do not use any of it to sell personal information. Virginia residents may opt out of targeted advertising, and ask us to stop analytics and session recording, by emailing bookings@foskorentals.com.

How long we keep it

Booking and contract records are kept while your event is upcoming and afterwards for as long as we need them for tax, accounting and contract records, which in Virginia is generally several years. Quote requests that never become bookings are kept for up to two years. Signed contracts are retained by SignWell under their own terms, and payment records by Stripe under theirs.

Your rights in Virginia

Under the Virginia Consumer Data Protection Act you may ask us to confirm whether we process your personal data and to give you a copy, correct it, delete it, or obtain it in a portable form. You may also appeal if we decline. We do not sell personal data and do not use it for profiling that produces legal or similarly significant effects. If you want to opt out of targeted advertising, see the section above.

Email bookings@foskorentals.com to make any of these requests, including deletion. We will respond within 45 days, and if we need the one 45-day extension the Act allows we will tell you before the first 45 days are up. If we cannot delete something because we are required to keep it, such as a completed transaction record, we will tell you what we kept and why.

Event photos

Photos taken at your event belong to your event. We only use them in our own marketing if you actively opted in at booking. The optional launch offer on the booking form applies if you let us use a few photos from your event in our marketing. No review is required and nothing here asks you for one. You can withdraw photo permission at any time by emailing us and we will stop using them going forward. We never sell event photos, and we never use photos of children in marketing without a parent agreeing in writing first.

Changes

If this policy changes we will update the date at the top. Material changes affecting an existing booking will be emailed to you.
